Proposal Coordinator

Rice Fergus Miller is looking for a Proposal Coordinator to join our passionate team of architects and interior designers who share in the belief that great design can change people’s lives for the better. The Proposal Coordinator will work alongside the Directors of Marketing and Business Development and firm leadership to position RFM for new business, nurture client relationships, and strengthen the firm’s established brand. You are a good fit for this role if you love the fast pace of the pursuit of competitive work, can handle multiple deadlines with ease, and have a balanced left and right brain that can think both creatively and strategically.

Your primary responsibilities will include, but are not limited to coordinating and producing RFP and RFQ responses and subsequent interview materials; maintaining project information database; supporting Principals, Market Leaders and Director of Marketing and Business Development with client outreach; and assisting with special projects. You will also work closely with RFM’s Creative Design Manager to maintain and update firmwide tools and templates for both marketing and business development uses.

Essential Functions:

  • Instrumental in the preparation of marketing collateral including but not limited to proposals and statements of qualifications.
  • Coordinate, assemble and produce project proposals, client qualification packages, client interview material, business development presentations.
  • Work with Principals and Director of Marketing & Business Development to determine the appropriate approach and strategy in creating company qualification, proposal and interview materials. Provide cartoon layout for strategic pursuits.
  • Write and maintain current employee resumes, boilerplate information, project descriptions and coordinate across all collateral.
  • Maintain marketing library of writing.
  • Work with Principals and Project Managers to develop and update proposal information.
  • Coordinate with consultant teams in proposal and qualifications package assembly.
  • Update client and project data in the Customer Relationship Management (CRM) or similar company-approved system.
  • Assist with gathering market research to improve proposal and qualifications package strength.
  • Promote and support company branding efforts and ensure that all proposal materials support the company-approved branding standards.

Desired Skills & Experience Required

  • Minimum of 3-5 years of experience working in marketing in the A/E/C industry
  • Technical understanding of the proposal production process for professional services
  • Understanding of Architectural, Engineering, and/or Construction industry terminology and procedures
  • Strong organization and problem-solving skills
  • Collaborative and team-oriented
  • Outstanding communication skills
  • Excellent analytical, communication, problem-solving, and decision-making skills and must be detail-oriented
  • Quick, self-starter, team-oriented, and ability to work with different personalities and professional styles
  • Proficiency in Microsoft Office and Adobe Creative Suite
  • Work examples to be submitted with the application

Preferred

  • Degree in business, marketing, communication, journalism, or a related field in the A/E/C industry
  • Participate in SMPS and other professional organizations as appropriate
  • Proficiency with CRM database tools
  • Project management skills are a plus
  • Writing and editing a plus, provide examples if applicable
