Communications Manager
Duke Human Vaccine Institute

The Duke Human Vaccine Institute is a large interdisciplinary organization with a goal to develop vaccines and therapeutics for HIV, Influenza, SARS-CoV-2, and other emerging infections. The Communications Manager will be responsible for the coordination, evaluation, and management of all internal/external communications related to the Duke Human Vaccine Institute (DHVI).

The Communications Manager will manage the design and implementation of a strategic communications plan at the DHVI by developing content for effective and innovative communication, with an emphasis on website strategies, design, and management and other forums of social media, newsletters, annual reports, and special events. This position will interface regularly with DHVI leadership and other DHVI operational units to disseminate news and generate communication materials to all appropriate audiences regarding the science occurring at DHVI.

Primary Responsibilities:

  • Create and maintain a unified voice through both print and electronic media in collaboration with the administration.
  • Manage and develop public websites by coordinating enhancements, appearance, and maintenance of all DHVI themed websites. Provide technical assistance to website stakeholders and editors to keep sites refreshed and reflective of latest research/program efforts. Coordinate vendor efforts for website architectural platform and programming support.
  • Coordinate with the Duke news and communications office, multi-disciplinary areas, and other on-campus communications entities on the dissemination of news stories/communications efforts to the Duke University campus, regional, national, and international media.
  • Direct the publication program to include supervision of the creation and revision of publications, ensuring they meet program objectives; determine content and deadlines; and supervise production activities of publications.
  • Lead initiatives on website migration in accordance to Duke policies.
  • Lead initiatives to establish the DHVI brand, mission, and values within the DHVI, Duke, and DHVI’s global research community. Develop and manage content, including original stories, articles, graphics, videos, press releases, publications updates, photos, and multimedia, for DHVI websites, intranet, and social media, including the DHVI Facebook, Instagram, Twitter, and LinkedIn pages.
  • Manage DHVI faculty profiles and publication lists for websites using Scholars@Duke and Elements@Duke systems.
  • Develop and maintain collaborative working relationships with DHVI leaders and key communications offices within the School of Medicine (SOM) and the larger Duke University community.
  • Conduct interviews, research, and write news releases, articles, and feature stories for local and national publication to publicize and promote the activities and programs when not directed by Duke news and communication offices.
  • Work with investigators to write, edit, proofread, and format scientific documents including, but not limited to grant/contract applications, annual reports, statements of work, publications, scientific manuscripts for peer review, protocols, and other scientific or administrative reports.
  • Oversee publication compliance for DHVI research programs, including manuscript submissions to the NIH Manuscript Submission System (NIHMS) and reporting publications to the NIH using the My NCBI system.
  • Determine fiscal requirements for communications program; prepare budgetary recommendations; monitor, verify, and reconcile expenditure of budgeted funds.
  • Lead and/or assist with special projects and assignments as needed.

Preferred Experience:

  • A background in scientific writing.
  • Experience in website design and development.
  • Experience working in an academic medicine environment.

Required Qualifications at this Level:

  • Education/Training: Work requires communications, marketing, strategic planning, analytical and organizational skills generally required through completion of Bachelor’s degree in journalism, public relations, communications, English or a related field.
  • Experience: Requires four years of experience in journalism, public relations, marketing or related field with experience posting and publishing through print and electronic mediums, including content management systems. Work requires communications, analytical and organizational skills necessary to manage and coordinate a variety of tasks. Experience working in an academic environment is preferred.
